Facilities Manager Responsibilities

Venue Access & Setup Guidance

Opening the Venue:
Meet your event coordinator or group at the start of your time block to unlock and open the venue, including adjusting the panoramic doors according to your setup needs.


Orientation:
Meets with the event coordinator to review an opening checklist, showing where everything is located and explaining all venue rules (which will require sign-off). Also ensures vendors are setting up in approved areas and adhering to venue guidelines.

During the Event

 Ongoing Support:

  • Adjusts panoramic doors as needed throughout the event.
  • Monitors restrooms for cleanliness, restocks supplies (toilet paper, soap, paper towels, etc.), and handles bathroom garbage.
  • Turns on/off string lights and fire tables as needed.
  • Provides setup and guidance for AV equipment (e.g., microphones, speakers, Bluetooth setup).
  • Sets up or puts away optional items (e.g., TV cart, BBQ, projector screen, games like ping pong, cornhole, ladder toss).


Rule Enforcement:

  • Ensures compliance with venue rules (e.g., noise levels, alcohol consumption restricted to designated areas).
  • Works with your event coordinator to address any violations.
  • Enforces lawn permit rights, removing unauthorized individuals from your reserved spaces.
  • Note: The representative is not security. If your event requires security, external security personnel must be hired.

Emergency & Facility Management

Acts as a liaison for any facility-related issues (e.g., power outages, water issues). Troubleshoots minor problems like resetting power breakers.

Post-Event Responsibilities

 Closing the Venue:


  • Conducts a closing walkthrough with the event coordinator to check for damages.
  • Ensures all equipment and furniture are properly stored.
  • Locks up the venue after the event.

What They Don’t Do

Setup/Breakdown:
The representative does not physically set up or break down tables, chairs, or décor. However, they will show you where all equipment is located and explain how and where it should be stored after the event.


Garbage Removal:
The representative does not handle food and beverage garbage directly. Vendors are responsible for their own waste. However, they will provide garbage bags and grant access to our onsite dumpsters. They will also coordinate with your vendors to ensure proper disposal.
